Counting cash and checking the variance

Follow these steps to record the expected total, count what's in the till, and see the variance — then save it with notes.

Start a new cash count

Open Cash Counts from the dashboard and start a new count for your location. On the web this is your end-of-day count; on mobile, staff can also do a count mid-shift. The count records who entered it and when.

Enter the float and the counted total

Type in the starting float, then count the cash in the drawer and enter the counted total. Both figures are entered by hand — there's no till or POS connection — and together they make up the cash you actually have on hand.

Add a denomination breakdown (optional)

If you want a more detailed record, tick the denomination breakdown and enter how many of each note and coin you counted. Shiftbreeze adds it up and checks the total against your counted total, so a typo gets caught before you save.

Enter what the drawer was expected to hold (this is optional, and typed in by hand). Shiftbreeze works out the variance — your float plus counted total, minus the expected total. A positive number means you're over, negative means you're short. It's shown as a figure for you to review; there's no threshold to configure and no automatic alert.

Save it and review the history

Save the count and it's added to the history, where every submission is listed with the location, who counted it, the totals and the variance. Filter the list by location to look back over a single site — handy for spotting a venue that's regularly coming up short.

Get the most from cash reconciliation

A few ways to keep your cash handling tight and transparent.

Count twice, save once
Always double-count the drawer before saving. A miscount creates a false variance that wastes time investigating.
Use the denomination breakdown
Entering each note and coin lets Shiftbreeze check the breakdown adds up to your counted total — a quick way to catch a typo before you save.
Count in a private area
Always count cash away from customers and out of view. It reduces distractions and improves accuracy.
Add notes for variances
If the drawer is short, note possible reasons — voided sales, refunds, or rounding. It helps whoever reviews the count later without guessing.
Review trends regularly
A small one-off variance is normal. But if a particular location is consistently off, it can signal a training or process issue worth looking into.
Fill in the expected total
The variance only shows when you enter an expected total, so type it in each time — otherwise the count is saved without anything to compare against.

How does the cash count work?+
You enter the float and the counted total (optionally broken down by denomination), then type in the expected total. Shiftbreeze shows the variance — float plus counted total, minus expected. The variance only appears if you enter an expected total.
Does it connect to my till or POS?+
No. There is no till or POS connection. The expected total is worked out and typed in by hand, and the counted total is entered manually too.
Can I view past cash counts?+
Yes. Every count is saved with the location, date, who counted it, the totals and the variance. You can filter the history by location.
